We are a trusted and long-established freight forwarding SME in Singapore seeking a dynamic and resourceful Operations & Office Executive to manage our admin, accounts, and HR functions. This is a key supporting role that ensures smooth daily operations across multiple departments. You will work directly with the management team and gain exposure to various aspects of running a logistics business.
About the Role:
Office Administration & Operations
Oversee day-to-day office operations and ensure smooth running of administrative tasks
Manage office supplies, courier arrangements, and facility maintenance
Support documentation and compliance related to freight and logistics services
Liaise with suppliers, service providers, building management, and internal teams
Accounting & Finance Support
Perform data entry for AR/AP, reconcile transactions, and update financial records
Issue invoices, credit notes, and assist in billing and collections
Support month-end closing, prepare basic reports, and liaise with outsourced accountants
Maintain petty cash and support bank transactions and reconciliations
Human Resources
Handle full employee life cycle: onboarding, leave management, offboarding
Maintain HR policies and records, ensure compliance with MOM regulations
Support recruitment and training coordination
General Support
Prepare and maintain company documents, records, and reports
Assist management with ad hoc tasks, reporting, and coordination
Participate in internal process improvement initiatives
What You’ll Bring:
We’re looking for someone who thrives in a fast-paced, dynamic, and sometimes ambiguous environment. To be successful in this role, you should have:
GCE ‘O’ Level / Diploma in Business Admin, Accounting, HR, or related field
4+ years of relevant experience in admin, accounts or finance (SME background preferred)
Proficient in Microsoft Office (Excel, Word); knowledge of accounting, or similar software is a plus
Familiar with Singapore MOM guidelines
Independent, detail-oriented, and able to multitask effectively
Strong interpersonal skills and a proactive, positive attitude
