Role Overview
The Logistics Operations Specialist will be responsible for managing and coordinating international logistics and shipment activities, with a particular focus on shipments between Singapore, Europe, Asia and USA. The role requires strong operational execution, attention to detail, and experience working within MedTech or another highly regulated industry.
Key Responsibilities
Manage end-to-end import, export, and cross-border shipments including urgent and time-sensitive deliveries.
Coordinate with freight forwarders, couriers, customs brokers, 3PLs, warehouses, distributors, and internal stakeholders to support smooth order fulfilment and product movements.
Prepare and ensure shipment documentation such as packing list, commercial invoices, shipment labels, airway bills, certificates of origin, permits, quality certificate are created timely and correctly for the picked shipment.
Manage temporary imports and exports under ATA Carnet, including documentation, customs presentation, tracking, re-export/re-import, and timely closure of Carnets.
Ensure compliance with customs, import/export, trade compliance, and applicable medical device regulatory requirements.
Proactively monitor shipments and resolve customs clearance issues, delays, documentation discrepancies, damaged shipments, and other logistics exceptions with relevant parties to ensure timely shipment.
Manage day-to-day performance of logistics partners and monitor freight costs, transit times, service levels, and on-time delivery.
Support returns, replacements, inventory transfers, and special shipment requirements.
Maintain accurate, traceable, and audit-ready logistics records.
Implement corrective actions and continuous improvements to enhance efficient shipment execution, logistics SOPs, audits, costs efficiency, lead times and shipment visibility.
Education & Experience
- Diploma or Bachelor’s degree in Supply Chain Management, Logistics, International Trade, Business, or a related discipline. Equivalent professional qualifications or relevant industry certifications in logistics or supply chain will also be considered.
- Minimum 3–5 years of relevant experience in logistics operations background within MedTech, pharmaceutical, manufacturing, or other regulated industry.
- Strong knowledge of international freight, customs clearance, Incoterms, shipping documentation, and import/export procedures.
- Experience working with freight forwarders, 3PLs, customs brokers, and regional distributors.
- Hands-on experience with ATA Carnets and temporary import/export procedures.
- Experience with Letters of Credit (LC) and preparation of compliant shipping documentation is advantageous.
- Strong attention to detail, problem-solving, and organisational skills, with the ability to manage multiple and time-critical shipments.
- Strong communication and stakeholder-management skills in an international environment.
- Team player, responsible, and able to work independently in a fast-paced environment.
- Proficient in Microsoft 365.
