Job Summary
Support the centre’s finance and administrative operations, including payment processing, bank reconciliation, petty cash, financial record keeping, data management and regulatory compliance. The role requires basic accounting knowledge and strong attention to detail to ensure accurate and timely financial and administrative records.
Responsibilities
Prepare ERF, payment vouchers and hand cheques accurately to support financial transactions.
Ensure timely submission of financial documents to HQ before monthly deadlines.
Perform bank reconciliation and communicate the reconciliation results to HQ.
Manage petty cash transactions and maintain accurate records.
Code accounting entries on supporting documents to facilitate accurate bookkeeping.
Monitor Locum service schedules and verify Centre invoices.
Provide backup support for Accounts Receivable functions.
Maintain office equipment and software to ensure operational readiness.
Upload and maintain records in the DOVE System, including donations, service agreements, disposal items, CSR activities and incident reports.
Maintain Donation-in-Kind (DIK), inventory and other finance-related records.
Update children's information in DOVE, including enrolment details, status and financial subsidies.
Assist with SSNET ES data management in accordance with ECDA requirements.
Liaise with cleaning service providers and other external vendors where required.
Support CSR and volunteer programmes at the centre.
Ensure compliance with ISO, NCSS, MSF and other relevant regulatory requirements.
Perform other duties as assigned by Management.
Required Competencies and Qualifications
Higher NITEC / Diploma in Accounting, Finance, Business Administration, Business Management, or equivalent.
Minimum 1 year of relevant working experience in finance, accounts and/or administrative functions.
Basic accounting knowledge, with an understanding of areas such as payment processing, bank reconciliation, petty cash and basic bookkeeping.
Proficient in Microsoft Office, particularly Excel and Word.
Good attention to detail and ability to maintain accurate financial and administrative records.
Preferred Competencies
Able to work independently and collaboratively within a multi-disciplinary team.
Organised, responsible and able to meet deadlines.
Good communication and coordination skills.
Prior experience in a preschool, social service or similar environment would be an advantage.
