Accounts / HR Assistant
TheAccounts / HR Assistant is responsible for providing day-to-day support inaccounting, payroll, HR administration, employee records, recruitmentcoordination, and general administrative activities. The role requires a highlevel of accuracy, confidentiality, organization, and coordination withemployees, management, suppliers, and external parties.
KeyResponsibilities
1.Accounts & Finance Support
- Assist with daily accounting and finance administrative activities.
- Process and maintain supplier invoices, payment vouchers, receipts, credit notes, and other accounting documents.
- Assist in accounts payable and accounts receivable activities.
- Verify invoices against supporting documents, purchase orders, delivery orders, and approvals.
- Prepare payment-related documents and follow up on outstanding invoices.
- Maintain proper filing of accounting records and supporting documents.
- Follow up with suppliers and internal departments regarding outstanding invoices and payment matters.
- Assist the Finance team during month-end and year-end closing.
- Provide supporting documents for internal and external audits when required.
2.Payroll Administration
- Assist in the preparation and processing of monthly payroll.
- Maintain accurate records of salary, overtime, allowances, deductions, leave, attendance, and other payroll-related information.
- Verify attendance and overtime records before payroll processing.
- Prepare payroll summaries and supporting documents for review and approval.
- Maintain proper payroll records and ensure confidentiality of employee salary information.
- Assist in responding to employees' payroll and salary-related enquiries.
3.HR Administration
- Maintain and update employee personal files and HR records.
- Assist in preparing employment contracts, appointment letters, confirmation letters, transfer letters, and other HR documents.
- Monitor employee attendance, leave, medical leave, and other HR records.
- Assist in maintaining employee information in the HR system.
- Assist with employee onboarding and offboarding processes.
- Coordinate the collection of documents from new employees.
- Assist with work pass applications, renewals, cancellations, and related documentation where required.
- Maintain proper records of employee work pass validity and expiry dates.
4.Recruitment Support
- Assist with job advertisements and recruitment activities.
- Coordinate interview schedules between candidates and hiring managers.
- Communicate with candidates regarding interview arrangements, required documents, and employment matters.
- Assist in preparing employment offers and onboarding documentation.
- Maintain recruitment records and candidate information.
5.Employee & HR Support
- Assist in handling employees' general HR enquiries.
- Prepare employee announcements, notices, memos, and HR communications.
- Assist in coordinating employee training, courses, workshops, and company activities.
- Maintain records of training attendance and employee development activities.
- Assist in administering employee benefits, insurance, claims, and other HR-related matters.
- Support company events, employee engagement activities, and welfare initiatives.
6.General Administration
- Provide general administrative support to the Finance and HR departments.
- Maintain proper electronic and physical filing systems.
- Handle incoming emails, calls, and enquiries and direct them to the relevant personnel.
- Assist in arranging meetings, appointments, and company activities.
- Perform other administrative duties as assigned by Management.
Requirements
- Minimum Diploma / Higher Nitec / Nitec in Accounting, Human Resources, Business Administration, or a related discipline.
- Candidates with 1-2 years of experience in both accounting and HR administration will have an advantage.
- Basic knowledge of Singapore payroll and statutory requirements is preferred.
- Proficient in Microsoft Office, particularly Excel and Word.
- Good numerical and analytical skills.
- Strong attention to detail and accuracy.
- Good organizational and time-management skills.
- Good communication and interpersonal skills.
- Able to handle confidential information with discretion.
- Able to work independently and meet deadlines.
Theemployee may be required to perform other reasonable duties andresponsibilities as assigned by the Supervisor or Management from time to timein support of the company's accounting, HR, and administrative requirements.
· Salary : $2,800 - $3,300
