About the role
The Admin & Finance Executive is responsible for ensuring smooth day-to-day office operations and supporting transactional finance activities. This role works closely with internal stakeholders and external service providers to maintain administrative efficiency, financial accuracy, and regulatory compliance. The position also supports office, facilities management and vendor coordination.
Key responsibilities
Coordinate day-to-day finance operations by liaising with outsourced finance service providers and supporting accounts payable, accounts receivable, reconciliations, month-end closing, and financial reporting activities.
Ensure compliance with company policies, financial controls, statutory requirements, and audit processes while maintaining accurate documentation and records.
Manage office administration and facilities to ensure a safe, efficient, and well-maintained workplace, including vendor management, procurement, and office operations.
Support Workplace Health & Safety (WHS) initiatives by coordinating compliance activities, risk assessments, safety policies, and committee administration.
Plan and coordinate internal meetings, corporate events, and VIP visits, including venue arrangements, logistics, catering, and other administrative support.
Build and maintain effective relationships with internal stakeholders, external service providers, vendors, and building management to ensure smooth business operations.
Identify opportunities to improve administrative and finance processes, driving operational efficiency and service excellence.
About you
Diploma in Business Administration, Finance, Accounting, or related field
2 to 3 years of relevant experience in administrative and/or Finance/Accounting support roles
Strong organizational and multitasking skills
Attention to detail and accuracy
Proactive, reliable, and able to work independently
Good understanding of basic accounting principles and financial processes
Familiarity with ERP or accounting systems
Basic knowledge of compliance and audit processes
Effective communication and stakeholder management skills
Proficient in Microsoft office especially Excel, PowerPoint and Word
