Job Description:
Manage the GGM's calendar, appointments, meetings, travel arrangements, and daily schedule to optimise time and priorities.
Provide a bridge for smooth communication between the GGM’s office and internal departments; coordinate and follow-up with various parties on projects/work progress involving the GGM’s participation.
Coordinate internal and external meetings, including scheduling, venue arrangements, meeting logistics, and preparation of agendas and supporting materials.
Attend business meetings, take accurate meeting minutes, and follow up on action items to ensure timely completion.
Screen and manage emails, phone calls, correspondence, and visitors on behalf of the GGM.
Conduct research, gather relevant information, and prepare reports, presentations, correspondence, and other business documents to support projects and assignments as directed by the GGM.
Organise business travel, accommodation, itineraries, and expense claims.
Coordinate business networking engagements, corporate events, and company functions as required.
Maintain confidentiality and handle sensitive information with discretion and professionalism.
Leverage AI tools responsibly to improve productivity, research, document preparation, meeting summaries, and administrative efficiency.
Requirements:
Qualifications & Experience:
Bachelor's degree in Business Administration or related field preferred.
At least 3 years of working experience as Personal Assistant to C-suite executives.
Skills & Competencies:
Excellent organisational and time management skills with the ability to manage multiple priorities and deadlines.
Strong interpersonal and communication skills with the ability to liaise effectively with internal and external stakeholders.
Proficient in preparing business correspondence, reports, presentations, meeting minutes, and other administrative documents.
Strong attention to detail with the ability to coordinate meetings, travel arrangements, and executive schedules efficiently.
AI-savvy with the ability to leverage AI tools responsibly to improve productivity, research, document preparation, meeting summaries, and administrative efficiency.
