Key responsibilities
Manage the CEO/COO daily schedule, appointments, meetings, and travel arrangements.
Handle confidential documents and sensitive information with a high level of discretion.
Managing general administrative tasks including scheduling, correspondence, filing, and office coordination
Supporting recruitment processes including job postings, candidate screening, interview coordination and onboarding of new employees
Processing and maintaining personnel records, employment contracts and documentation in compliance with regulations
Assisting with employee relations matters including leave management, performance tracking and disciplinary procedures
Coordinating staff events, training programmes and team-building activities
Maintaining office supplies inventory and liaising with vendors for procurement
Providing administrative support to senior management and various departments
Preparing reports and documentation related to human resources and administrative matters
Ensuring compliance with company policies and procedures
Supporting payroll administration and employee benefits programmes
Familiar with Singapore Government grants & application of grants
What we're looking for
Diploma or Bachelor's degree in Business Administration, Human Resources or a related field
Posssesses a Class 3 driving licence with 0 penalty points
Minimum 2–3 years of experience in administrative or human resources roles
Strong organisational and time management skills with the ability to handle multiple tasks simultaneously
Knowledge of HR practices, employment regulations and workplace compliance
Ability to maintain confidentiality and handle sensitive information professionally
Strong attention to detail and accuracy in record-keeping
Proactive approach with the ability to work both independently and collaboratively
Customer service orientation and professional demeanour
Familiarity with Singapore employment laws and regulations is preferred
