Duties and Responsibilities
Tenant Management
Lead the team in attending to tenants’ maintenance and technical requests promptly and professionally.
Handle and resolve tenant disputes, escalating to senior management when necessary.
Recommend corrective, preventive, or improvement measures to enhance the operation and efficiency of commercial spaces.
Coordinate with tenants for non-renewal of leases, including submission of refund forms, reinstatement checklists, and final accounts for electricity and air-conditioning usage.
Manage handover and takeover (“HOTO”) of push carts and other tenant assets, ensuring all records are properly maintained.
Ensure tenants comply with lease/tenancy agreement provisions; escalate and take action on non-compliance only after consulting senior management.
Prepare incident reports for tenant non-compliance with Trains’ security or safety requirements, including findings, actions taken, recommendations, and responsible tenant personnel; attend WSSQ sessions to present findings and recommendations when required.
Maintain awareness of site safety and security requirements and ensure full compliance with statutory regulations, guidelines, and company policies.
Coordinate and execute maintenance and tenancy works efficiently across all units.
Oversee maintenance management, covering fire safety systems, energy and recycling programs, portable grease traps (PGT), and related installations.
Exercise due diligence in adhering to maintenance regimes, schedules, and upkeep of building installations and systems.
Plan and stagger staff working hours to ensure adequate coverage, remaining contactable 24/7 via mobile phone for any emergencies arise.
Provision of services such as air-con, kitchen exhaust system, etc.to the tenants are timely serviced, good condition, repaired, etc. so that these services to the tenants are adequately serviced at all times.
Administration of Electricity and Air-Con Charges
Ensure proper records and documentation of all electricity and air-con charges, transactions and accounts relating to the management and maintenance of the site on the assigned zone.
Collaborate with Stellar on iStellar and any other software provided for the management of billings to tenants, contractors or other vendors.
Plan and manage the budget all cyclical or ad hoc replacement of system, equipment, etc. and related infrastructure, including resources planning for tenders, requests for quotations, and procurement activities etc.
Consolidate and review budgetary submissions from the team for all equipment, site works, and related expenditures for annual approval.

Qualifications and Work Experience
Degree in Building/ Facilities Management / Engineering/Infrastructure & Project Management with a minimum of 3 to 5 years of relevant working experience.
