About the Role

We are seeking a responsible and detail-oriented Accounts & Admin Executive to manage the company’s full set of accounts, payroll, and daily office administration.

This is a hands-on position requiring the successful candidate to take ownership of both accounting functions and routine administrative operations. The candidate will be responsible for ensuring that financial records are accurate, payroll and statutory matters are processed on time, and the company’s day-to-day administrative activities are managed efficiently.

Key Responsibilities

Accounting and Finance

  1. Handle the company’s full set of accounts, including Accounts Payable, Accounts Receivable, general ledger, and bank transactions.

  2. Prepare and issue invoices, payment vouchers, receipts, debit notes, credit notes, and other accounting documents.

  3. Process supplier payments and monitor outstanding customer payments.

  4. Maintain accurate and complete accounting records in the Xero accounting system.

  5. Perform bank, cash book, Accounts Payable, Accounts Receivable, and intercompany reconciliations.

  6. Prepare monthly Accounts Payable and Accounts Receivable ageing reports.

  7. Follow up on overdue customer payments and resolve billing discrepancies.

  8. Prepare monthly accounting schedules and assist with management reporting.

  9. Ensure timely and accurate month-end and year-end closing.

  10. Prepare quarterly GST returns and supporting schedules.

  11. Assist in preparing financial statements and simple consolidated financial statements.

  12. Maintain proper filing of invoices, receipts, payment records, contracts, and other financial documents.

  13. Liaise with auditors, tax agents, corporate secretaries, banks, and relevant government agencies.

  14. Prepare supporting documents and schedules for audits, tax filings, and statutory submissions.

Payroll and Administration

  1. Prepare and process monthly payroll using InfoTech payroll software.

  2. Maintain accurate employee payroll, leave, attendance, and personnel records.

  3. Prepare payslips and payroll-related reports.

  4. Process CPF contributions and other applicable statutory payments and submissions.

  5. Maintain records of employee claims, allowances, deductions, and reimbursements.

  6. Prepare basic employment documents, letters, and employee-related administrative records.

  7. Ensure payroll and employee information is handled accurately and confidentially.

  8. Manage tenancy agreements and monitor rental, utility, maintenance, and renewal dates.

  9. Track the renewal and expiry dates of contracts, licenses, insurance policies, subscriptions, and service agreements.

  10. Assist management with daily routine administrative coordination, record maintenance, and follow-up matters.

Job Requirements

  1. Diploma or Degree in Accounting, Finance, Business Administration, or a related discipline.

  2. At least 3 years of relevant experience handling a full set of accounts.

  3. Experience managing accounting responsibilities and daily office admin

  4. Practical knowledge of Accounts Payable, Accounts Receivable, reconciliations, month-end closing, payroll, and GST reporting.

  5. Proficiency in Xero accounting software.

  6. Experience using InfoTech payroll software is preferred.

  7. Strong working knowledge of Microsoft Office, particularly Microsoft Excel and Microsoft Word.

  8. Meticulous, organized, responsible, and attentive to detail.

  9. Able to prioritize accounting deadlines while handling daily administrative duties.

  10. Able to work independently with minimal supervision.

  11. Good communication, coordination, and problem-solving skills.

  12. Comfortable performing a broad, hands-on role in a small business environment.

  13. Possess integrity and maintain strict confidentiality when handling financial and employee information.
