Job Summary

We are looking for a responsible, organised, and detail oriented Logistics & QA Assistant / Junior Executive to support the Sales and Customer Service Team in daily delivery coordination, customer order follow up, logistics records, stock monitoring, replenishment ordering, supplier follow up, warehouse communication, import/export documentation, and QA documentation in a food manufacturing company.

This role is suitable for a fresh graduate or junior candidate who is interested in building a career in logistics, food manufacturing operations, stock control, supplier coordination, and QA documentation.


Working Hours

5 day work week

Monday to Thursday:
8:00am to 6:00pm
1 hour lunch break

Friday:
8:00am to 5:00pm
1 hour lunch break

Occasional extended working hours may be required during month end stock take, month end closing, or ERP related matters.

Occasional Saturday support may be required only when operational coverage is needed, such as when the main Logistics & QA staff is on leave.

Time off in lieu will be provided where applicable.


Key Responsibilities

• Assist in daily delivery scheduling and coordination

• Support route planning and delivery arrangements

• Coordinate closely with the Sales and Customer Service Team, suppliers, warehouse team, drivers, and internal departments

• Follow up on urgent orders, delivery changes, stock status, and customer delivery requests

• Assist in handling occasional customer phone orders and ad hoc delivery requests

• Record order details accurately and coordinate delivery arrangements based on available routes

• Assist in preparing and following up on replenishment orders or purchase orders

• Coordinate with suppliers and warehouse team on incoming goods, pending stock, and delivery dates

• Prepare and update invoices, delivery orders, packing lists, customer purchase order records, and delivery records

• Support warehouse communication, stock movement, and dispatch follow up

• Maintain proper filing of logistics, stock, supplier, import/export, and QA documents

• Assist in QA documentation, including SOPs, forms, checklists, HACCP, ISO 22000, and Halal related records

• Support audit preparation, traceability records, and document control

• Assist in preparing import and export documents when required

• Perform data entry, reporting, and general administrative duties


Requirements

• Minimum Nitec, Higher Nitec, Diploma, or Degree in Logistics, Supply Chain Management, Business Administration, Operations Management, or related field

• Diploma or Degree holders, including fresh graduates, will be preferred for the Junior Executive track

• Fresh graduates or junior candidates with good attitude and willingness to learn are welcome

• Experience or internship in logistics, warehouse, delivery coordination, stock control, purchasing support, QA documentation, or operations support will be an advantage

• Experience in food manufacturing, FMCG, warehouse, delivery operations, distribution, or supplier coordination will be an advantage

• Basic knowledge of invoices, delivery orders, packing lists, purchase orders, stock records, or logistics documents will be useful

• Familiarity with import/export documents, HACCP, ISO 22000, Halal, SOP, or QA documentation will be an advantage, but not compulsory

• Organised, careful, and able to handle documents accurately

• Proficient in Microsoft Office, especially Excel

• Able to coordinate well with the Sales and Customer Service Team, suppliers, warehouse team, drivers, and internal departments

• Able to follow up closely on delivery arrangements, customer orders, stock status, replenishment orders, supplier updates, and customer order requirements

• Comfortable handling occasional customer phone orders and coordinating ad hoc delivery requests

• Responsible, willing to learn, and able to work in a fast paced environment
