Location: Tai Seng

Working Days: 5 Days

Key responsibilities

  • Manage the COO's daily schedule, appointments, meetings, and travel arrangements.

  • Handle confidential documents and sensitive information with a high level of discretion.

  • Support the COO in administrative, operational, and personal matters.

  • Coordinate monthly pest control services

  • Manage courier services (e.g., FedEx, DHL)

  • Oversee procurement of office stationery and pantry supplies

  • Administer security access cards for employees

  • Assist with recruitment coordination, onboarding arrangements, and general office administration when required.

  • Monitor and follow up on action items to ensure timely completion.

  • Provide high-quality secretarial and administrative support to facilitate effective executive operations

  • Handling correspondence, emails, and telephone communications with professionalism and discretion

  • Maintaining filing systems and managing confidential records and documents

  • Coordinating meetings, conferences, and events, including venue arrangements and catering

  • Acting as a liaison between executives and internal and external stakeholders

  • Managing office supplies, equipment, and vendor relationships

  • Supporting special projects and initiatives as assigned by management


What we're looking for
Requirements:

  • Bachelor’s degree in Business Administration or a related field.

  • Valid Singapore Class 3 Driving Licence with a clean driving record.

  • Minimum 2–3 years of experience as a Personal Assistant, Executive Assistant, or similar role.

  • Proficient in both written and spoken Mandarin and English. (Proficiency in both languages is required to communicate effectively with clients.)

  • Able to work independently and manage multiple priorities.

  • Familiarity with online productivity, scheduling, and communication tools (e.g., ChatGPT, Zoom, DeepSeek)

  • Ability to prioritize, multitask, and work independently in a fast‑paced environment.
