ROLE OVERVIEW
We are seeking an experienced and detail-oriented Accounts Payable (AP) Executive to join our Finance team in Singapore. The successful candidate will be responsible for managing end-to-end accounts payable functions, supporting month-end and year-end books closing activities, and ensuring compliance with Singapore's financial regulations and reporting standards. This role requires a proactive individual with strong analytical skills and the ability to work in a fast-paced environment.
KEY RESPONSIBILITIES
Accounts Payable Management
• Process and verify vendor invoices, ensuring accuracy, proper coding, and timely payment.
• Manage the full AP cycle: invoice receipt, matching with POs/delivery orders, approval routing, and payment processing.
• Prepare and process payment runs (cheque, GIRO, TT, and e-payments) in accordance with payment terms.
• Reconcile AP sub-ledger to the general ledger on a monthly basis.
• Resolve vendor queries and disputes promptly and professionally.
• Maintain and update vendor master data in the accounting system.
Books Closing & Month-End Support
• Assist in the monthly, quarterly, and year-end books closing process in a timely and accurate manner.
• Prepare AP aging reports and accrual schedules for month-end closing.
• Post journal entries for accruals, prepayments, and any AP-related adjustments.
• Perform balance sheet account reconciliations related to accounts payable and accruals.
• Coordinate with other finance team members to ensure all AP transactions are captured before close.
• Support the preparation of financial reports and schedules for management review.
Compliance & Audit
• Ensure compliance with Singapore Financial Reporting Standards (SFRS) and GST regulations.
• Assist in internal and external audits by providing AP schedules, supporting documents, and reconciliations.
• Maintain proper documentation and filing in line with company policies and regulatory requirements.
• Support IRAS tax compliance including preparation of GST input tax claims.
Process Improvement
• Identify opportunities to streamline AP processes and improve workflow efficiency.
• Assist in the implementation or enhancement of ERP/accounting systems.
• Develop and maintain AP process documentation and SOPs.
REQUIREMENTS & QUALIFICATIONS
Education & Experience
• Diploma or Bachelor's Degree in Accounting, Finance, or a related field.
• Minimum 5 years of hands-on experience in Accounts Payable or a similar finance role.
• Prior experience in books closing, month-end/year-end close processes is essential.
• Experience working in Singapore with knowledge of local regulatory and tax requirements (GST, IRAS).
Technical Skills
• Strong working knowledge of Microsoft Excel (VLOOKUP, pivot tables, reconciliation).
• Familiarity with e-payment platforms and Singapore banking systems (GIRO, FAST, PayNow).
• Solid understanding of double-entry bookkeeping and accounting principles.
Soft Skills
• High attention to detail and accuracy in data entry and financial processing.
• Strong organisational skills with the ability to manage multiple deadlines.
• Good communication skills to liaise with vendors, internal stakeholders, and auditors.
• Team player with the ability to work independently under minimal supervision.
• Ability to work under pressure during peak close periods.
NICE TO HAVE
• Experience in a shared services centre or multi-entity environment.
• Exposure to intercompany AP transactions and foreign currency processing.
• Prior experience with accounts receivable (AR) or general ledger (GL) functions.
