CMMS & Systems Management
• Administer, configure and maintain the CMMS platform to support day-to-day facilities and maintenance operations.
• Set up and manage work order workflows, preventive maintenance schedules, asset registers and spare parts inventory within the CMMS.
• Validate data integrity, system performance and interoperability across connected platforms to ensure operational reliability.
• Support integration efforts between CMMS and other building systems where required, working alongside technical leads or vendors.
Level 1 Support & Troubleshooting
• Serve as the first point of contact for CMMS-related issues raised by operations and facilities teams, providing timely Level 1 support and resolution.
• Diagnose and resolve common system issues including user access, work order errors, dashboard discrepancies and device connectivity faults.
• Escalate unresolved or complex technical issues to vendors or system integrators, managing the escalation process through to closure.
• Maintain a support log to track recurring issues, identify root causes and recommend preventive measures or system improvements.
Training & Capability Development
• Develop and deliver training programmes and user guides to onboard operations teams onto the CMMS platform and Smart FM tools.
• Conduct refresher training sessions to ensure operations staff are proficient in day-to-day system usage, work order management and reporting functions.
• Build operational capability by equipping team members with the knowledge to leverage CMMS data for maintenance planning and decision-making.
• Gather feedback from end users post-training to continuously improve training materials and system usability.
Maintenance & Performance Optimisation
• Work with FM teams to translate CMMS data and insights into actionable maintenance strategies, including preventive and condition-based maintenance.
• Monitor equipment performance trends and support energy optimisation and water savings initiatives through data analysis.
• Assist in tracking sustainability KPIs such as EUI and energy and water consumption trends.
Stakeholder Management
• Act as the primary liaison between operations teams, facility managers, IT and external technology vendors for all CMMS-related matters.
• Engage stakeholders regularly to gather requirements, communicate system updates and ensure CMMS configurations remain aligned with operational needs.
• Coordinate with system integrators and platform vendors on system enhancements, upgrades and issue resolution.
• Prepare and present system performance reports, training updates and project status to management and relevant stakeholders.
• Foster strong working relationships across teams to drive adoption of Smart FM tools and promote a data-driven maintenance culture.
Skills & Requirements
Core Requirements
• Hands-on experience with CMMS platforms (e.g. IBM Maximo, Archibus, eMaint, Ultimo or equivalent).
• Understanding of preventive and predictive maintenance principles and facilities management operations.
• Experience providing user support and conducting system training for operations or facilities teams.
• Strong analytical and problem-solving skills with attention to data accuracy.
• Good communication, stakeholder engagement and presentation skills.
• Proficient in Microsoft Excel and PowerPoint.
Bonus / Good to Have
• Familiarity with IoT platforms, devices or communication protocols (LoRaWAN, MQTT, BACnet, Modbus) is an advantage.
• Basic understanding of BMS and how building systems data can be integrated with CMMS.
• Exposure to Smart FM, Smart Building or M&E systems in a facilities environment.
• Knowledge of Green Building standards or sustainability initiatives such as Green Mark.
