About the role
Our client is seeking a meticulous and proactive Legal Secretary to provide comprehensive secretarial and administrative support to a team of legal professionals. This role offers an excellent opportunity to manage diverse tasks spanning maritime/shipping documentation, and general practice administration within a collaborative team environment.
Key responsibilities
Prepare client engagement letters, open new matter files, input fee earners' timesheets accurately, and manage client billing processes.
Conduct and purchase searches via ACRA, MarineNet, and e-Litigation platforms.
Draft ACRA Authorization Letters, prepare documents for ACRA filings, and assist with the filing of Registration of Charge and Satisfaction of Charge.
Assist with mortgage registration and discharge with the Maritime and Port Authority of Singapore (MPA), and handle stamp duty filings.
Prepare and manage correspondence, maintain efficient electronic (FileSite/WorkSite) and paper filing systems.
Organize meetings, conferences, and travel/hotel arrangements. Assist the Business Development team with department events or client meetings.
Cover the reception area and manage phone inquiries in a professional manner as and when required.
About you
Minimum five (5) years of work experience as a Secretary, with experience working in a law firm
Proficiency in MS Office
Familiarity with FileSite/WorkSite and e-Litigation platforms is highly advantageous.
Exceptional attention to detail (meticulous) with a strong collaborative spirit and a team-player mindset.
Excellent phone etiquette and professional communication skills.
