Company Overview

We are a growing event tech company specialising in live printing and on-site gift customisation for corporate events, exhibitions, conferences, and brand activations. We deliver engaging guest experiences through real-time personalisation and smooth on-site operations. We are looking for an Events Coordinator who is organised, client-oriented, and comfortable with hands-on event work.


Key Responsibilities

  • Handle customer enquiries and prepare quotations via phone and email in a timely and professional manner.

  • Understand client event needs and recommend suitable packages, including proposing appropriate products/gifts and personalisation options.

  • Source and coordinate event gifts where required, ensuring feasibility, timelines, and delivery readiness.

  • Build business relationships and generate leads by engaging existing customers, prospective clients, and event companies through follow-ups and networking.

  • Update and maintain sales materials, including sales decks, product catalogues

  • Prepare and execute live printing events, including pre-event planning, booth preparation, and operational readiness.

  • Oversee on-site execution to ensure smooth workflow, client satisfaction, and prompt troubleshooting when issues arise.

  • Recruit, coordinate, and train part-time staff to support event operations and maintain service standards.

  • Coordinate delivery logistics to ensure loading/unloading of equipments to event site

  • Liaise between customers and internal teams (design/production) to manage artwork preparation, approvals, and production requirements.

  • Capture photos and videos during events for marketing and social media content.

  • Manage booth setup and teardown, packing, deployment, and return of event assets.

  • Ensure printing equipment is tested and in good working condition prior to each event.

  • Perform event-related administrative duties, including:

    • Payroll for part-time staff

    • Completion of client/venue forms and documentation

  • Support any other ad-hoc duties required to ensure successful event delivery and smooth operations.


Requirements

  • Minimum Degree Holder (preferably Public Relations / Communications / Events or related fields).

  • Strong written communication skills; able to craft clear and efficient email responses.

  • Proficient in English with good verbal communication skills and confidence with customers.

  • Enjoy interacting with people, building relationships, and networking.

  • Positive learning attitude and able to adapt in a fast-paced environment.

  • Able to work independently and collaborate well within a team.

  • Willing to work weekends and public holidays when required for events.

  • Suitable for fresh graduates and mid-career individuals.

  • Comfortable with hands-on event operations (setup/teardown and working on-site).
