Job Summary:
We are seeking a highly organized and self-driven Operations & Office Associate to oversee office operations, IT coordination, and compliance-related administrative support within a regulated financial services environment.
This role requires strong ownership across office management, IT coordination, and regulatory documentation, ensuring smooth day-to-day operations in a lean organization.
Responsibilities:
1. Office Operations & Administration
- Oversee daily office operations and vendor management
- Manage contracts, service providers, and renewals
- Maintain corporate records and ensure proper documentation control
- Monitor budgets, expenses, and support financial tracking
- Maintain business continuity plans and operational procedures
- Improve internal workflows and operational efficiency
- Act as primary liaison between HQ IT, vendors, and internal users
- Coordinate system maintenance, upgrades, and troubleshooting
- Track and resolve IT issues in a structured and timely manner
- Maintain IT asset inventory and access control documentation
- Support IT onboarding and offboarding setup processes
- Assist with IT governance documentation and audit preparation
- Monitor vendor performance and ensure SLA compliance
- Maintain structured compliance documentation and filing systems
- Support regulatory reporting coordination and record-keeping requirements
- Assist with KYC documentation and compliance processes
- Support accounting documentation, invoice tracking, and audit preparation

- Immediate or short notice preferred (within a few weeks max)
- 6–10 years of experience in operations, office management, or IT coordination
- Proficiency in Japanese and English for Japanese speaking stakeholder communication
- Strong organizational skills with high attention to documentation accuracy
- Ability to work independently in a lean and fast-paced environment
- Strong vendor and stakeholder management skills
- Detail-oriented, reliable, and capable of handling multi-functional responsibilities
- Experience in financial services or regulated industries
- Familiarity with MAS (Monetary Authority of Singapore) regulatory environment
