We are representing our client in the pharmaceutical industry in seeking the following:
HR Administrator (P&O)
Responsibilities:
The P&O Administrator provides HR operations administration support to the Head of HR across the full employee life cycle. The role ensures timely processing, accurate employee master data management, and proper completion of HR administrative activities in line with internal HR policies and applicable requirements in Singapore.
End-to-End Employee Life Cycle Administration
Support the Head of HR by coordinating administrative activities across the employee journey, including but not limited to:
Onboarding support: documentation coordination, readiness checks, coordination with internal stakeholders to ensure new hire records are created and updated accurately
Employment changes: processing/support for contractual updates, job/role changes, transfers, promotions, and other employee status changes based on approved requests
Offboarding support: coordinating administrative steps for resignation/termination, ensuring completion of required records and status updates
Employee master data maintenance: verifying completeness and accuracy of employee information and ensuring timely updates during life cycle events
Other administration support (if included in your scope): ensuring requests are processed, tracked, and completed correctly in line with HR processes
HR Query Support
Handle employee queries in relation to P&O policies or activities
Perform checks to ensure required information is received before processing
Escalate exceptions and incomplete documentation accordingly
Maintain clear records of actions taken and outcomes in internal trackers
Data Quality & Document Control
Ensure employee records are accurate, consistent, and audit-ready
Maintain proper document filing/retention in accordance with internal procedures
Conduct basic data validation to ensure work accuracy and quality
Reporting & Administrative Coordination
Support the Head of HR with operational reporting inputs (e.g., status updates on onboarding/offboarding, HR activity trackers, volume and turnaround metrics)
Prepare and update operational dashboards/spreadsheets or trackers as assigned
Participate in process improvement activities by identifying recurring admin issues and recommending operational fixes
Requirements:
Degree/diploma in Human Resources, Business Administration, or related field (or equivalent HR operations experience)
3-5 years’ experience in HR operations/HR administration/HR shared services
Knowledge of employee life cycle administration concepts (onboarding, changes, offboarding)
Familiarity with documentation handling and confidentiality requirements
