Job Description
We are seeking a highly organized, proactive, and commercially minded Operations & Administration Specialist, Asia Pacific to support the Head of Asia Pacific Hub.
This position serves as a vital link between HQ, Asia Pacific regional teams, and the local Singapore office. The person is the primary contact connecting 18 partners across the Asia Pacific region with HQ, ensuring seamless communication, coordination, and alignment across all levels while aligning operational, financial, and administrative functions with organizational objectives. The Specialist will oversee daily operations, logistics, and administrative tasks, drive efficiencies and supporting cross-functional projects across the region.

Key Responsibilities
HQ Coordination
- Serve as the primary liaison between HQ and APAC teams, providing timely updates on operational progress, compliance, and project status.
- Implement and adapt HQ-driven initiatives, policies, and workflows to meet the unique needs of APAC teams.
Collaborate with HQ on budgeting, reporting, and logistics strategies to ensure alignment with regional goals.
Asia Pacific Regional Support
- Streamline administrative and logistical processes across regional offices to ensure operational consistency.
- Support country-level teams with budget planning, operational execution, and compliance reporting.
- Coordinate regional projects, ensuring deliverables meet deadlines and align with strategic objectives.
- Act as the primary point of contact for troubleshooting and resolving cross-country operational challenges.
Local Singapore Office Administration
- Oversee local office operations, including facilities management, vendor coordination, and supply procurement.
- Support HR-related tasks such as onboarding, training coordination, and payroll processes, where applicable.
- Collaborate with the Singapore finance team to manage local expense tracking and ensure accurate reporting to HQ.
Financial Coordination
- Assist HQ and regional finance teams in accurate budget allocations and compliance with financial guidelines.
- Monitor and report monthly financial performance for Singapore and regional offices.
- Prepare financial documents for audits, budget reviews, and compliance checks.
Data Analysis and Reporting
- Analyse data using advanced Excel skills (e.g., pivot tables, VLOOKUP, and complex formulas) to provide actionable insights.
- Develop and maintain dashboards to track key metrics, including budgets, logistics efficiency, and regional performance.
- Deliver accurate and timely reports to support data-driven decision-making by HQ and regional leadership.
Logistics Management
- Coordinate the movement of goods, materials, and marketing collateral between HQ, partners, and regional offices.
- Oversee inventory management and resolve logistics-related issues to ensure timely delivery of resources.
- Plan and manage end-to-end logistics for regional events, including vendor negotiations and event material transportation.
Communication & Stakeholder Management
- Build strong relationships with HQ and regional teams to foster collaboration and alignment of goals.
- Provide regular updates to stakeholders on operational performance, upcoming initiatives, and key challenges.
- Serve as a cultural bridge to enhance understanding and cooperation between HQ and APAC offices.
Qualifications
- Bachelor’s degree in business administration, operations management, or a related field.
- 3–5 years of experience in operations, administration, or logistics within a regional or international organization.
- Proven ability to support multi-level teams across regions.
- Strong knowledge of cross-border logistics, financial processes, and compliance requirements.
Skills and Competencies
- Interpersonal Skills: Strong stakeholder management abilities to coordinate across HQ, regional, and local levels.
- Organizational Skills: Excellent time-management and prioritization skills to handle multiple responsibilities effectively.
- Analytical Mindset: Ability to identify areas for process improvement and implement solutions.
- Technical Proficiency: Experience with ERP systems, financial software, and Microsoft Office Suite.
- Adaptability: Comfortable working in a dynamic, multicultural environment.
- Numerical Proficiency: Strong aptitude for financial analysis, identifying trends, and working with numbers.
