Job Summary
We are seeking a detail-oriented and proactive Executive (Operations, Supply Chain) to provide administrative, operational, and personnel support within the Inventory Department. This role ensures smooth daily operations by enforcing company policies, maintaining accurate inventory records, supporting manpower deployment, and upholding safety and compliance standards.
Key Responsibilities
1. Administrative Support
Assist the Department Manager in enforcing company policies and standard operating procedures (SOPs).
Prepare and submit documents, reports, and updates in a timely manner.
Maintain proper filing systems and ensure equipment and machinery are in good working condition.
Investigate and report defective or expired stock and other inventory-related issues.
Deploy manpower and assign staff duties to support daily operations.
Coordinate repair and servicing of faulty equipment.
Perform ad-hoc tasks as assigned by the Department Manager.
2. Operational Support
Verify product details such as description, pack size, barcode, and dimensions against system data for new items.
Ensure barcode compliance and maintain accurate system updates.
Investigate and resolve stock discrepancies; raise stock adjustments where required.
Manage return, exchange, and disposal processes for damaged or defective items.
Monitor RTV (Return to Vendor) and RSTO (Return Stock Transfer Order) activities and ensure timely follow-up.
Support replenishment, stock transfer, and relocation between distribution centers.
Prepare weekly and monthly reports on stock adjustments, damaged goods, and outstanding returns.
Update SKU information including shelf life, dimensions, pallet configuration, and supplier source.
3. Personnel Management
Plan and manage staff duty rosters and attendance.
Monitor punctuality, overtime, and leave records in compliance with labor guidelines.
Handle staff welfare matters including uniforms, safety gear, and medical or claim submissions.
Prepare documentation for staff onboarding, resignation, and access requests.
Identify training needs and recommend staff development programs.
Conduct regular team briefings to communicate updates and review performance.
4. Security and Safety
Enforce workplace safety and security guidelines.
Conduct regular safety briefings and promote safe work practices.
Support Safety Committee initiatives towards achieving a zero-accident workplace.
Key Result Areas (KRAs)
Compliance with departmental SOPs and company policies.
Accurate and timely processing of inventory adjustments and documentation.
Effective manpower management and team motivation.
Reduction of stock losses, damages, and discrepancies.
Efficient handling of returns, replenishment, and stock transfer activities.
Maintenance of a safe, organized, and compliant working environment.
Other Information
Location: West
Working Hours: Rotating shifts (7:30 am to 5:03 pm / 1:30 pm to 11:03 pm)
Work Week: Five-day workweek, including weekends and public holidays
