Job Summary: Warehouse & Material Control
We are seeking a responsible and detail-oriented Warehouse & Material Control / Operations Executive to manage material flow, ERP transactions, site documentation, and operational coordination. This role supports warehouse operations, project execution, and invoicing accuracy through strong inventory control and administrative follow-up.
Key Responsibilities
Material & Inventory Control
Manage material flow in and out of the warehouse with full traceability.
Maintain accurate ERP records (MTO, DO, stock-in/out, transfers, and returns).
Prepare, stage, and issue materials for daily site operations.
Record returned materials with proper SOE reference and correct unit measurement.
Check for unreturned materials (e.g. ladders, tools, site materials).
Conduct monthly stock checks and annual year-end inventory count for audit.
Assist with material labelling and warehouse organisation.
ERP & Documentation
Prepare and process Delivery Orders (DO), including stock-out lists for PIC signature.
Recheck signed SOEs against DO drafts to ensure completeness.
Follow up on missing or unsigned SOEs and email customers for sign-back.
Scan, store, and file signed SOEs:
Softcopy for internal records
Hardcopy filed (yellow file)
Original submitted to Accounts for invoicing
Update daily work status and signed SOE details into the master sales/work tracker.
Monitor new Sales Orders daily and inform Purchasing if materials are required.
Coordination & Operations Support
Liaise with Supervisors on materials needed for the next day’s work.
Coordinate with warehouse staff (e.g. assistant) to prepare next-day materials.
Communicate with Project, Site, Procurement, and Warehouse teams on material status.
Monitor work progress and material usage for ongoing jobs.
Invoicing & Customer Support
Handle customer email correspondence related to SOE sign-back and confirmation.
Reporting & Compliance
Prepare and manage Fluke test reports for fiber and UTP works.
Support monthly returns of materials
Assist during audits, stock verification, and inventory reconciliation.
Ensure SOP compliance for warehouse, documentation, and material control.
Assist with warehouse and operational tasks as required.
Provide backup support during manpower shortages or staff leave.
Perform other duties reasonably assigned by Management.
Requirements:·
Min diploma or equivalent.
At least 3 years experience in a warehouse or distribution center environment is preferred.·
Basic math and reading skills.
Familiarity with inventory management software or RF scanners is a plus.
Basic knowledge in Microsoft Office.
Ability to work well in a team and follow instructions.
