Join Our Team as a Purchasing Assistant!
We are looking for a detail-oriented and reliable Purchasing Assistant to support our purchasing and inventory operations. This role involves coordinating with suppliers and internal teams, handling purchase-related documentation, and ensuring system records are accurate and up to date.
The Purchasing Assistant will work closely with the Purchaser and other departments to support smooth day-to-day purchasing activities.
Key Responsibilities:
Purchase & Order Support
Prepare and process purchase orders based on approved requests.
Follow up with suppliers on order status and delivery schedules.
Track deliveries and highlight discrepancies such as delays, shortages, or damaged goods.
Supplier Coordination
Handle day-to-day communication with local suppliers.
Support overseas supplier coordination under the guidance of the Purchaser.
Maintain supplier records, quotations, and related documentation.
Inventory & Stock Control
Coordinate with factory teams to ensure stock takes are carried out on schedule.
Review stock take submissions and ensure figures are updated accurately in the ERP system.
Assist in reconciling stock usage and balances.
Escalate discrepancies or irregularities for follow-up.
ERP & Work Order Support
Update purchase orders, inventory records, and work order modules accurately in the ERP system.
Ensure backend data is properly maintained and aligned with actual operations.
Support ongoing ERP-related tasks and improvements as required.
Documentation & Internal Coordination
Maintain proper filing of purchase orders, delivery orders, invoices, and related documents.
Coordinate with Accounts, Operations, and Sales teams to support purchasing and inventory processes.
Perform ad-hoc administrative support related to purchasing activities.
Requirements:
Educational Background: Minimum GCE ‘O’ Level or Diploma in Business Administration, Supply Chain, or related field (preferred).
Experience: Fresh graduates are welcomed. At least 1 year of experience in purchasing, procurement, or administrative support is an advantage.
Computer Skills: Proficient in Microsoft Excel and Word; Comfortable working with systems and data entry; ERP experience is a plus.
Attention to Detail: Organised, careful and accurate when handling orders and documents.
Communication Skills: Able to communicate clearly with suppliers, factory staff, and internal teams.
Time Management: Able to manage multiple tasks and meet deadlines in a fast-paced environment.
Team Player: Responsible, willing to support team members and work collaboratively.
