CPAS School West is looking for a Part-Time Administrative Assistant.
Working hours: 1 PM to 5 PM, Monday to Friday
OVERVIEW
You will assist the School Administrative Team and Teachers to provide general administrative support and to provide support in building classroom teaching resources. You will also assist the reporting supervisor with administrative duties as and when assigned.
RESPONSIBILITIES:
School Operations
Do regular inventory checking and recording for office supplies.
Design and printing of common directional signs for school events.
School Administration
Reporting of staff & student daily attendance.
Recording of staff leave records and holiday schedules/declarations.
Carry out the routine operational matters such as key loans and equipment loans.
Digitising Documentation tasks such as Scanning and saving documents into Shared Folders.
Collate, design and publish termly School Newsletter.
Database management of staff records across platforms.
Management of interview candidates.
Assist Principal, Vice-Principal, Administrative & Operations Manager and Administrative Executive in any ad-hoc tasks.
Development of Classroom Resources
Assist teachers to build and update classroom teaching resources, based on termly listing.
Carry out the routine loans of the resources.
Quality and Productivity
Work as a team and participate positively and actively to ensure quality service delivery that aligns with the Association's mission, goals, and objectives.
Assist School Administrative Team to provide guidance to Administrative Assistant.
Undertake any other duties as assigned by the reporting supervisor.
REQUIREMENTS:
Have administrative experience in other organisations.
Have experience using computers and office equipment such as a scanner or copier and others.
Meticulous and conscientious when handling the documents.
Possess a positive mindset and able to overcome difficulties to achieve desired results.
Resilient to be able to manage priorities.
Service-orientated and committed to high accuracy standards.
Constantly maintaining high confidentiality when in sight of the documents while working
Strong interpersonal skills, tactfulness, and a strong team member when working with colleagues in the department.
Good spoken / written communication
