Key Responsibilities:

  • Oversee daily office operations, ensuring timely and efficient management of administrative, procurement, and maintenance matters.

  • Manage purchase requisitions, ePO submissions, receipting, and claims, ensuring seamless coordination with the Finance department.

  • Handle enquiries and follow-up actions related to THM and other system matters

  • Maintain and update various tracking files, reports, and records across all Coliwoo sites to ensure data accuracy and accessibility.

  • Support Operations Admin Executive’s across sites during absences or as needed, ensuring smooth operational continuity.

  • Develop, update, and maintain Standard Operating Procedures (SOPs) and other documentation to streamline administrative and operational processes.

  • Coordinate preventive maintenance schedules and support the implementation of training programs with onsite teams.

  • Manage vendor relationships, including vendor registration, evaluation exercises, and preparation of related reports.

  • Monitor and manage office inventory such as stationery, equipment, mobile lines, staff name cards, and corporate transport accounts.

  • Prepare weekly and monthly performance reports and dashboards to track site performance, analyse data trends, and provide insights for management decision-making.

  • Support company-wide events, projects, and other group initiatives as assigned.

  • Perform any other ad-hoc duties assigned by management.

Requirements:

  • Diploma or Degree in Business Administration, Hospitality, Operations Management, or related discipline.

  • At least 2 year(s) of experience in student hostel / serviced office operations management/ administrative or operations support.

  • Experience in property / facilities management or front desk would be advantageous.

  • Strong proficiency in Microsoft Office applications (Excel, Word, PowerPoint); experience in data tracking and reporting preferred.

  • Good team player with interpersonal, analytical, presentation skills.

  • Service-orientated with pleasant disposition.

  • Proactive, resourceful, and adaptable to a fast-paced and evolving environment.
