The Singapore Red Cross (SRC), in partnership with the Health Sciences Authority (HSA), leads the national effort in blood donor recruitment, recognition, and retention under the National Blood Programme. With less than 2% of Singapore’s population donating blood, our mission is critical: to build a sustainable and resilient pool of regular, voluntary donors to ensure that every patient has timely access to safe blood.

ABOUT THE ROLE

This is more than an administrative position - it’s a pivotal role that enables the engine of our national programme to operate with excellence. As an Executive / Senior Executive (Admin & Partnership), you will be a key enabler of our mission, anchoring operational functions, driving administrative transformation, and championing process excellence across the team.

Your contribution will go beyond paperwork - you’ll bring structure, accountability, and a strong team spirit into a dynamic, purpose-driven environment.

Please note that the working hour for this role will be Tuesday - Saturday, 9 AM - 6 PM.

KEY RESPONSIBILITIES

Office & Operational Excellence

• Oversee day-to-day administrative functions and ensure smooth, efficient office operations.

• Manage office and pantry supplies; liaise with vendors for replenishments and equipment servicing.

• Maintain a clean, organised, and professional office environment.

• Ensure all documentation and internal records are maintained in line with audit and SOP requirements.

Data & Systems Management

• Administer and update donor databases with high data integrity.

• Prepare and generate data reports to support donor engagement, and recognition initiatives.

• Identify and implement digital tools or process improvements to enhance productivity and workflow efficiency.

Procurement & Financial Admin

• Support end-to-end procurement processes, including vendor sourcing, quotation management, and documentation.

• Liaise with internal finance and procurement teams to ensure compliance with SOPs and timely processing.

• Manage departmental petty cash and claims processes; maintain accurate financial records.

• Leverage TenderBoard and digital platforms for streamlined procurement submissions (where applicable).

Stakeholder & Donor Servicing

• Serve as the first point of contact for internal and external stakeholders, handling donor enquiries and communications with professionalism and care.

• Provide administrative support for campaigns, events, and meetings when required.

• Foster a welcoming environment for both donors and team members.

WHO WE’RE LOOKING FOR

Qualifications & Experience

• Diploma or degree in business administration, management, or relevant disciplines.

• 3 to 5 years of administrative, operations, or office management experience.

• Experience with change management initiatives and familiarity with TenderBoard system will be a distinct advantage.

• Prior exposure to non-profit or public sector work is welcomed.

Skills & Competencies

• Strong planning, organisational and multitasking abilities.

• Solid working knowledge of MS Office (Excel, Word, PowerPoint); familiarity with digital platforms, automation tools, or basic data dashboards is a plus.

• Experienced in procurement workflows, vendor management, and finance support.

• Meticulous with data accuracy and process compliance.
