About the Role
The Centre Support Executive is responsible for ensuring the smooth closure and documentation of classes conducted at the training centre. This includes validating, filing, updating, and ensuring data accuracy in the Training Management System (TMS). The role is primarily based at the centre and supports the operational flow between trainers, learners, and internal teams to maintain compliance and administrative efficiency.
Key Responsibilities:
1. Class Closure & Documentation
● Validate attendance sheets, assessment records, and other class-related documents after each course run.
● Scan, file, and upload all required documents into the Training Management System (TMS) promptly.
● Ensure proper filing of learner and trainer records in line with audit and compliance requirements.
2. System Updates & Data Accuracy
● Update attendance, assessment, and trainer information in TMS accurately.
● Cross-check and reconcile class records to ensure data consistency between physical and digital files.
● Flag discrepancies or missing records to the relevant departments for timely resolution.
3. Coordination & Administrative Support
● Liaise with trainers, Training Support team members, and Centre Operations staff to resolve any administrative or documentation issues.
● Support centres in retrieving and verifying documents required for audits or internal checks.
● Assist in other administrative tasks and ad hoc duties assigned by management.
4. Compliance & Quality Assurance
● Ensure class closure and documentation meet SSG, audit, and internal policy requirements.
● Maintain confidentiality and accuracy of learner and trainer records.
● Participate in periodic reviews to improve workflow efficiency and compliance standards.
Requirements:
● Minimum Diploma in Business Administration, Office Management, or related field.
● 1–2 years of administrative or operations support experience, preferably in the education or training industry.
● Strong organisational and time management skills with high attention to detail.
● Proficient in Microsoft Office (Excel, Word, Outlook) and familiar with data entry or TMS systems.
● Able to work independently and as part of a team in a fast-paced environment.
● Good communication and coordination skills.
● Willing to work on weekends based on the class schedule and operational requirements.
