Key Responsibilities:

1. Invoicing & Documentation

  • Prepare and issue invoices to clients accurately and on schedule.

  • Maintain proper records of all invoices, purchase orders, and related documentation.

  • Assist in preparing reports on invoicing and job progress.

2. Scheduling & Coordination

  • Develop and maintain the project and installation schedule, ensuring clear timelines.

  • Coordinate daily and weekly work plans with installers, suppliers, and factory teams.

  • Monitor job progress to ensure adherence to timelines and promptly escalate delays.

  • Update and circulate scheduling changes to all relevant parties.

3. Owner & Client Liaison

  • Serve as the primary point of contact for clients regarding operational matters.

  • Coordinate site access, delivery dates, and installation schedules with property owners.

  • Communicate updates, changes, or after-service arrangements clearly and professionally.

  • Support in handling client feedback or minor issue resolutions.

4. Installer Coordination

  • Manage daily job allocations for installers and ensure they have updated job details.

  • Track installer attendance, job completion, and report issues from site.

  • Coordinate with the site supervisor or project manager to resolve site challenges quickly.

5. After-Service & Maintenance Support

  • Handle scheduling and coordination for after-service visits or rectification works.

  • Track service requests and ensure timely follow-up and closure.

  • Maintain records of all after-service jobs and ensure client satisfaction.

Additional Responsibilities:
  • Support the preparation of operational reports and dashboards.

  • Provide administrative support to the operations team (e.g., preparing work orders, job sheets, permits).

  • Assist in procurement coordination when required (e.g., requesting quotations, raising purchase orders).

  • Ensure compliance with safety procedures and site protocols.

Qualifications & Skills:
  • Diploma or equivalent experience in operations, administration, or project coordination.

  • Strong organizational and time-management skills.

  • Proficient in Microsoft Office / Google Workspace and so on.

  • Detail-oriented, resourceful, and able to multitask in a fast-paced environment.
