Job Purpose

The Administration Officer plays a vital role in ensuring the smooth day-to-day operations of the clubhouse through effective administrative support, financial coordination, and vendor management. Reporting directly to the Administration Executive, the incumbent is responsible for maintaining accurate asset and inventory records, supporting audit processes, managing slot machine collections, and assisting in the preparation of reports and documentation for meetings. This position is well-suited for a meticulous and organized individual seeking to contribute in a vibrant clubhouse environment with a positive team culture and strong work-life balance.

This role is a 2-year contract, and will be based at SAFRA Tampines.

Main / Key Responsibilities

Reporting directly to the Administration Executive, the candidate is to assist in the planning, organizing, and controlling of all administrative, finance and vendor management duties of the Clubhouse.

  • Assisting in ad-hoc and yearly inspection/write-offs which may include managing the audit process by external auditors and maintaining accurate records of assets/inventories in the Clubhouse.

  • Assisting in the liaison with SAFRA HQ with administrative processes, working with vendors on promotions and sponsorships, and coordinating for Vendor meetings.

  • Maintaining a daily record of daily cash collections relating to Slot Machine Operations, physical count of cash collections, and preparing monthly reports to Finance.

  • Handles weekly collections and maintaining a level of cash float, bank-in of surplus cash, internal and external audit.

  • Prepare of reports, data and other documents for meetings

  • Any other duties when assigned by Administration Executive.

Requirements

  • Min GCE N/O A Levels or Diploma in any field.

  • Meticulous attention to detail and follow-through; perform tasks with high degree of accuracy and efficiency with the ability to meet deadlines.

  • Experience working in the club, leisure or hospitality industry will be an advantage.

  • Outstanding communication and interpersonal abilities.

  • Excellent knowledge of MS Office and office management softwares.

  • Able to work on Public Holidays (PH) and weekends, if needed.
