Overview
This role plays an essential part in supporting the Examinations Team, in the end-to-end planning and execution of semester and special term examinations. The incumbent will work independently and collaboratively with Schools and students to ensure large-scale university examinations are conducted smoothly and efficiently. The position also involves leading technology-enabled examination initiatives and supporting processes that contribute to academic assessment and graduation outcomes.
Key Responsibilities
Conduct of Examinations
Support the planning and conduct of semester and special term examinations (written and digital) to ensure seamless execution.
Schedule examinable courses to appropriate venues based on specific requirements and optimise hall capacity.
Ensure sufficient invigilators are assigned and that examination venues are fully equipped with logistics.
Engage stakeholders and provide guidance in resolving issues relating to examination timetabling, venue planning, and other related challenges.
Manage special examination arrangements and provide timely support during examination sessions.
Oversee the processing of medical certificates (MCs) submitted by students, ensuring accuracy and accessibility for Schools’ Board of Examiners (BOE) meetings.
Prepare data analysis and year-on-year comparisons to support future examination planning.
Stakeholder Engagement
Respond promptly to stakeholder queries and provide effective solutions.
Maintain proper documentation and logs for follow-up actions.
Administrative Support
Provide support to the Team Lead and colleagues in examinations and other administrative functions as required.
Requirements
Bachelor’s degree from a recognised university.
Minimum 3–5 years of supervisory experience, preferably within academic services or the tertiary education sector.
Experience in examination planning and events management.
Familiarity with data protection compliance and confidentiality principles.
Knowledge of risk and contingency management.
Proficient in IT applications; working knowledge of SQL will be an advantage.
Strong analytical skills with keen attention to detail.
Excellent oral and written communication skills; able to engage stakeholders at all levels.
Strong organisational and planning skills, with the ability to multi-task and work well under pressure.
Resilient, adaptable, and quick to learn new skills.
Demonstrates integrity and upholds high ethical standards.
A strong team player who can also work independently.
Comfortable with taking up 9 months contract role from Oct 2025 - June 2026
