About the Role
As a Senior / Associate Executive, you are responsible for administrative support to ensure efficient and effective operations within the department. This multifaceted role encompasses a wide range of tasks, including administration operations, IT support, inventory verification, event and meeting coordination, and calendar management. The position serves a crucial in coordinating and maintaining smooth departmental operations and functions.
Some of the Key Responsibilities include:
Administrative Support
Process and manage documents/correspondence
Coordinate internal/external communications
Track and process claims/reimbursements
Arrange travel and accommodation bookings
Manage office supplies and equipment
Coordinate corporate gifts and welfare matters
Manage calendar invites and scheduling
Meeting & Project Support
Prepare PowerPoint presentations
Take and distribute accurate meeting minutes
Track and follow up on action items
Schedule and coordinate meetings
Prepare meeting materials and agendas
Operations Management
Department liaison (HR, MMD, IT and other departments)
Financial transactions and documentation
Maintain department records and databases
Support department events and activities
IT & Facility Support
IT equipment lifecycle and inventory
Meeting room bookings
Event planning and catering arrangements
Job Requirements
Diploma holder in any discipline
Proficient in computer applications including Microsoft Office (Excel, Powerpoint, Word)
Excellent communication and interpersonal skills
A team-player, able to work independently with minimal supervision
Meticulous with good organizational and writing skills
Driven, self-motivated and able to multi-task
At least 2 – 3 years’ experience in a healthcare setting is preferred
