Job Description
Operations & Facility Management
Manage and oversee day-to-day operational activities including:
Infection control, housekeeping, pest control, and facility inspections
Vaccination administration and record updates
Staff training coordination, training matrix updates, and new joiner onboarding
Inventory management: ordering, preparation of consumables, machinery, and stock control
Contracts and vendor management (e.g., quotation requests, service agreements)
Updating and maintaining MSDS & SDS documentation
Support internal/external audits and ensure compliance with NUHS cluster requirements.
Housekeeping & Manpower Deployment
Oversee housekeeping services and attendance monitoring
Approve staff attendance and update management records in the Employee Time Management System (ETMS)
Ensure timely completion of terminal cleaning and housekeeping projects
Plan and monitor manpower deployment according to operational needs.
IT Systems & Projects
Support setup, implementation, and maintenance of operational IT systems, including:
eTEMS, SJT, ePeriodic, eStaff Portal
Coordinate and monitor new project rollouts (e.g., BPJ)
Collaborate with IT and OSS teams to update and streamline processes.
KPI & Reporting
Track and report on operational KPIs including:
Housekeeping attendance
Terminal cleaning completion
Project timelines and outcomes
Provide regular updates to management on progress, issues, and improvement areas.
Other Responsibilities
Handle ad hoc operational matters as requested by OSS or management.
Ensure all responsibilities align with organizational policies and regulatory standards.
Job Requirement
Diploma in Facilities management, Administration, or related field.
Minimum 3 years’ experience in operations, facilities, or healthcare support services.
Knowledge of infection control, housekeeping standards, and facility management.
Familiarity with IT platforms (ETMS, eStaff Portal, etc.) and project coordination.
Strong organizational, problem-solving, and stakeholder management skills.
