Job Summary
To perform all routine and administrative duties, including attending to phone calls and queries from the public pertaining to dormitory booking.
To be responsible for all incoming and outgoing mail. A register for outgoing mail shall be maintained.
Responsibilities
To take full responsibility for issue of Cash Sales Invoice.
To take charge of monies pertaining to all types of cash sales
To attend to phone calls and attend to all walk-in queries pertaining to booking of dormitory units.
Perform all kinds of routine administrative and filing duties and to maintain adequate stock of office stationery.
To assist Dormitory Manager and Operations Manager in routine matters.
Prepare purchase requisition for Dormitory Manager’s approval.
To be overall responsible for all incoming and outgoing mail. To maintain a register of outgoing mail.
Update client list whenever existing clients move out or new clients move in.
To collect payments for all forms of cash sales (e.g. repairs, fines, parking, etc) and issue Cash Sales Invoice. All cash collected shall be banked in expeditiously.
To take charge of processing and documentation of workers moving into the dormitory.
To obtain documents of workers at least 1 week in advance and issue access passes, provided that all documents are properly verified.
To keep updated records of all workers in the dormitory, according to their units, companies and nationalities.
To ensure that records of workers moving out of the dormitory and proceeding on home leave or returning from leave are properly updated.
To maintain a record of defective or lost access passes and collect payments for replacement passes, where applicable.
To monitor work permit expiry dates and ensure that clients submit details of renewed work permits from time to time.
To attend to request from government departments pertaining to workers residing in the dormitory
To perform any other duties as assigned by management when and as deemed necessary.
Requirements
GCE ‘N’ Level or ‘O’ Level
Minimum 1 year experience in customer service
Knowledge of Microsoft Word & Excel
Able to start short-notice/immediate
Able to converse with Mandarin speaking customers
