You are responsible for the management and maintenance of campus facilities. You will manage outsourced service providers to ensure that the day-to-day management of facilities, maintenance works, processes, frameworks and delivery of key performance indicators (KPIs) are consistently kept at a high standard to support our campus operations.
You will lead initiatives in building and facilities management to create a safe and conducive working environment for our clients and tenants in the campus.
Responsibilities:
Campus Operations and Project Management
Work with service providers to plan, implement and monitor processes relating to building maintenance, carpark operations and facilities management which include areas in workplace health, safety, security, faults and day to day operations
Manage and monitor KPIs of outsourced vendors and service providers to ensure that service levels and performance standards are met
Record, investigate and analyse reported breakdowns, faults and incidents. Able to review and recommend process improvement or corrective measures to prevent future recurrence
Provide project management support for tenancy fit-outs, renovations and campus upgrading works. You will coordinate with outsourced vendor/service providers, relevant authorities and key stakeholders to ensure that project works can meet project timelines, quality standards, contractual requirements and are compliant with authorities’ requirements
Recommend, plan and carry out campus improvement works annually. Introduce best industry practices in building/facilities management which can result in better operation efficiency, sustainability efforts and emergency preparedness.
Contract Management, Procurement and Budgeting
Manage and renew contracts promptly
Handle the procurement process from gathering requirements, requesting for quotations, evaluation of vendors and appointing qualified vendors for the works. Put up proposals to management to award vendors for contracts and purchases
Ensure that payments are made timely to vendors for invoices
Plan and propose annual budget for Operating and Capital expenses for facilities and building management
Requirements:
Degree in any discipline
At least 4 - 5 years of relevant work experience in building and facilities management
At least 4 - 5 years of experience in procurement and tender processes
Good knowledge of relevant authority regulations, building codes of practice and energy management
Proficient in Microsoft Office applications
Strong problem-solving, analytical and interpersonal skills
Good writing and communication skills
Able to multi-task and work independently in a fast-paced environment.
Designation and salary will commensurate with experience.
