Key Responsibilities

1. Administrative Support
  • Manage and maintain client records, case files, and databases in compliance with data protection policies.

  • Prepare and update documentation, reports, and statistics required by funders, auditors, or internal stakeholders.

  • Handle general office administration such as procurement, inventory tracking, and maintenance coordination.

  • Support submission of government or agency reports (e.g., NCSS reports, ComCare submissions).

2. Front Desk & Client Interaction
  • Serve as the first point of contact for walk-in clients, phone enquiries, and email correspondence.

  • Assist clients with basic queries and direct them to appropriate personnel or services.

  • Maintain visitor and appointment logs.

3. Programme & Event Support
  • Assist social workers and programme staff in scheduling appointments and coordinating outreach efforts.

  • Provide logistical and administrative support for events, workshops, or group sessions (e.g., venue booking, registration, refreshments, materials).

  • Support volunteer coordination and record-keeping.

4. Finance & Claims
  • Handle petty cash and basic finance tasks such as processing claims, receipts, and payments.

  • Assist with documentation for fund disbursement and donor tracking.

  • Support timely submission of financial reports or reconciliation documents.

5. Compliance & Record-Keeping
  • Ensure all records are accurately maintained and archived according to internal SOPs and regulatory requirements.

  • Support audit exercises and ensure necessary documentation is available.

Qualifications & Skills

  • Minimum Bachelor's Degree in Business Admin, Social Services, or related fields.

  • At least 1–2 years of relevant admin experience (experience in a social service setting is a plus).

  • Proficient in Microsoft Office and case management systems (e.g., SSNet or equivalent).

  • Good interpersonal and communication skills.

  • Empathetic and sensitive to working with vulnerable populations
