About the Role:

The Administrator (Maintenance) is responsible for providing comprehensive administrative support to the maintenance team while assisting with HR and office administration tasks. This role involves managing correspondence, preparing quotations, organizing documentation, and ensuring that contract obligations are met. The Administrator will also support other Admin& HR activities.

What You’ll Do:

  • Correspondence & Communication: Handle all incoming and outgoing correspondence, including emails and letters. Ensure proper dissemination of information and follow-up as needed.

  • Quotation & Documentation: Prepare and manage quotations for services related to CCTV, Network Cabling, Security Systems, Electrical Works, etc. Maintain and organize documentation, including photos, quotes, and technical specifications in a structured filing system.

  • Administrative Support: Perform general administrative duties such as filing documents, managing tenders, and completing other ad-hoc tasks as required by the team.

  • Stakeholder Coordination: Maintain strong working relationships with internal teams and external stakeholders, ensuring smooth communication and project coordination.

  • Presentation Support: Assist in prepare meeting room for meeting clients or vendors.

  • Other Ad-hoc Administrative Support: Provide general administrative assistance to both the Admin and HR teams to ensure smooth daily operations.

What We’re Looking For:

  • Education: At least a Diploma/Advanced Diploma in Others or an equivalent qualification.

  • Industry Experience: Preferably with working experience in construction, CCTV, network cabling, security systems, or related fields.

Skills:

  • Strong organizational and multitasking abilities.

  • Experience in handling administrative tasks, including quotation management, filing, and document preparation.

  • Excellent communication skills, with the ability to work effectively with both internal teams and external stakeholders.

  • Proficiency in Microsoft Office.
