We are seeking a meticulous, detail-oriented, and results-driven Logistics Coordinator to join our team. This role is essential to ensuring operational efficiency and supporting the company’s growth through effective management of logistics and supply chain processes. Key Responsibilities

1. Purchase Order (PO) Management

  • Process and manage Purchase Orders (POs) as per management approvals.

  • Track all issued POs and maintain updated records for follow-ups.

  • Coordinate with suppliers and customers to ensure timely delivery of items, particularly those shipped directly to sites.

  • Maintain clear documentation for POs and related communication.

2. Supplier and Customer Coordination

  • Serve as the main point of contact for suppliers regarding order updates, lead times, and delivery schedules.

  • Communicate with customers to ensure smooth delivery and resolve logistical concerns promptly.

3. Tax Permit Management

  • Process and secure inwards and outwards tax permits for imported/overseas shipments.

  • Ensure compliance with local and international tax regulations.

  • Maintain an organized record of tax permits and ensure timely renewal if necessary.

4. Request for Quotation (RFQ) Management

  • Draft and email RFQs for logistics requirements.

  • Compile and compare quotations to assist in final approval.

  • Maintain a database of potential logistics service providers and their service offerings.

5. Import and Export Documentation

  • Prepare, review, and coordinate all import and export documents (e.g., invoices, packing lists, bills of lading, and certificates of origin).

  • Monitor the progress of shipments to ensure compliance with delivery deadlines.

  • Address any customs clearance issues in coordination with freight forwarders.

  • Candidates will be a strong fit if they are well-versed in the full scope of sea freight operations.

6. Stock and Inventory Management

  • Collaborate with warehouse staff to monitor inventory levels and resolve stock discrepancies.

  • Assist in inventory audits by preparing relevant documentation and participating in stock-taking activities.

  • Analyze stock movement patterns and propose solutions for efficient inventory turnover.

7. Sourcing and Vendor Management

  • Conduct sourcing activities as per management’s requirements.

  • Evaluate vendors based on cost, quality, and delivery reliability.

  • Negotiate pricing and terms with vendors to ensure cost-effectiveness.

8. Compliance and Quality Assurance

  • Ensure all logistics activities adhere to company policies and applicable regulations.

  • Verify the quality and quantity of goods received or dispatched.

9. Team Collaboration and Reporting

  • Work closely with warehouse staff, auditors, and the finance team to ensure smooth operational flow.

  • Provide monthly reports to management, detailing the status of POs, shipments, inventory, and vendor performance.

  • Participate in team meetings and assist with operational planning.

10. Audit and Inventory Participation

  • Actively participate in stock-taking activities as part of the audit team.

  • Identify and report any discrepancies during inventory checks.

11. Problem-Solving and Initiative Development

  • Implement rigorous initiatives to improve logistics workflows and overall efficiency.

  • Identify bottlenecks in the supply chain and develop proactive solutions.

  • Demonstrate strong problem-solving skills to address unexpected issues in shipping, inventory, or supplier coordination.

12. Skills and Attributes
