Roles and Responsibilities
• Manage and maintain day-to-day facility management at the properties, including building security, fire security and waste disposal.
• Conduct routine checks to ensure effective and efficient management of common areas.
• Plan and schedule daily duties for technicians and housekeeping staff (if any) to ensure high performance standards.
• Plan and implement building maintenance programme, AEI, M&E systems and equipment.
• Monitor and ensure compliance with all safety equipment, work methods and procedures.
• Schedule and ensure timely renewal of all authority approval for M&E services, including Fire Certificate, Lifts Permit to Operate, Standby Genset Maintenance, Fire Protection System, Annual Water Tank Maintenance, DECAM systems, and any other systems that require regular renewal and maintenance.
• Work with the Fire Safety Manager to ensure compliance of all necessary safety plans, including Emergency Response Plan, CERT team, Fire Drills, and any other plans that may be required by SCDF.
• Liaise with government authorities, statutory boards, architects and engineers on management and maintenance matters.
• Recommend necessary repair work, renovation, furnishings and equipment replacement for the properties.
• Engage service providers through a proper approval system; prepare specifications required, obtain quotations, manage contracts and performance of service providers.
• Conduct on-site inspections, supervise and manage development and maintenance works carried out by appointed contractors, ensuring works are carried out to specifications and completed on schedule.
• Follow up with service providers on submission of monthly maintenance schedule, quotations, claims, and invoicing.
• Attend to Tenant’s feedback professionally and ensure timely and prompt responses.
• Establish and maintain good rapport with Tenants.
• Ensure high-quality preventive and corrective maintenance services for all Tenants.
• Timely reporting of any major faults or issues to the department head.
• Attend to emergency situations in the properties assigned and provide timely updates to stakeholders.
• Managing the upkeep of equipment and supplies to meet environmental, health and safety standards.
• Take ownership of and understand the scope of work for all tasks and/or ad-hoc task assigned.
• Render assistance as and when required by department head.
• Adhere to the direction of management in executing the work.
• Understand the authority of the work and seek management approval for any tasks requiring higher level approval.
• Act as the administrative point of contact between the managers/executives and internal/external clients.
• Always perform with consideration for maintaining proper documentation and evidence that can protect the company in the event of any disputes.
• Maintain proper documentation and records of all internal/external work requests.
• Any other jobs requested by management.
Requirements:
• Diploma/Degree in Building, Facilities Management, Electrical Engineering or equivalent
• Proficient in MS Word/ Excel/ PowerPoint
• At least 3 years’ relevant work experience, preferable in construction/building.
