Key Responsibilities:
1) Handle a variety of general clerical tasks, including answering phone calls, taking messages, and managing correspondence.
2) Welcome and assist visitors with a professional and courteous approach.
3) Maintain organized physical and digital filing systems to ensure secure and efficient information retrieval.
4) Oversee inventory management and procurement of office supplies, IT equipment, pantry items, PPE, and staff uniforms.
5) Coordinate office maintenance and serve as the point of contact with vendors to ensure timely services.
6) Schedule and coordinate meetings, prepare agendas, and accurately document meeting minutes.
7) Manage logistics for room bookings, staff transportation, and travel arrangements as required.
8) Supervise cleaning personnel and organize cleaning schedules for all plant locations.
9) Support the planning and execution of employee engagement initiatives, including birthday celebrations, team-building activities, training sessions, and annual company events.
Requirements:
1) Demonstrated experience in administrative support or office coordination roles.
2) Exceptional organizational skills with the ability to manage multiple tasks efficiently.
3) Strong verbal and written communication skills, coupled with excellent interpersonal abilities.
4) Proficient in Microsoft Office applications and familiar with general IT tools.
5) Capable of working independently while also collaborating effectively within a team environment.
