Reception Duties
Greet and assist visitors, ensuring a welcoming environment.
Answer and direct phone calls professionally; take and relay messages.
Manage the reception area, keeping it tidy and organized.
Administrative Support
Check and process paperwork, ensuring accuracy and completeness.
Maintain organized filing systems for easy retrieval of documents.
Manage office supplies and inventory, ensuring timely replenishment.
Office Coordination
Respond to emails from clients and relevant departments promptly and professionally.
Make phone calls to set appointments and follow up on pending matters.
Serve as a point of contact for clients, addressing their inquiries and providing necessary information.
Record-Keeping and Reporting
Maintain and update contact lists and office records.
Prepare simple reports or presentations as required by management.
Assist in organizing company events or employee gatherings.
Additional Support
Assist in handling employee inquiries related to general office services.
Help with ad hoc tasks and errands as required to support the office team.
Requirements:
Proficient in English and Mandarin to speak with Mandarin speaking staffs.
Meticulous, takes initiative and has good communication skills.
IT savvy (Microsoft Excel, Words, Power Point).
Able to work under pressure.
Ability to take initiative and anticipate needs.
Reliability and dependability in fulfilling tasks.
Resourcefulness in addressing challenges.
Min. ITE Certificate (Nitec)
At least 2 years of experience required.
