Position Overview

We are seeking a detail-oriented and proactive Administrative and Operations Coordinator to support our administrative functions and oversee operational workflows related to construction equipment maintenance and repair. The ideal candidate will possess strong organizational skills, technical knowledge, and the ability to communicate effectively in a fast-paced environment.

 

Key Responsibilities

Administrative Duties

  • Compose, distribute, and respond to emails, ensuring timely follow-up on customer inquiries.

  • Prepare and send quotations to customers promptly.

  • Generate delivery orders for customer collections or deliveries.

  • Maintain and update checklists for rental equipment.

  • Prepare service receipts for customers sending equipment for repair or servicing.

  • Maintain an organized filing system as per management guidelines.

  • Resolve administrative issues efficiently.

  • Handle incoming phone calls and assist with customer inquiries.

  • Prepare service revenue reports.

  • Develop service packages tailored to specific equipment models.

 

Operational Duties

  • Coordinate with logistics officers and mechanics to prepare and function-test equipment prior to customer collection or delivery.

  • Capture and upload photos to Microsoft Teams for incoming and outgoing repair equipment.

  • Monitor and coordinate maintenance schedules for rental equipment.

  • Conduct routine inspections, alignments, maintenance, servicing, and repairs on company-owned and rental construction equipment.

  • Manage spare parts inventory for scheduled maintenance and urgent repairs.

  • Lead and coordinate maintenance workflows to ensure timely and high-quality service delivery.

  • Monitor repair progress and provide prompt updates to customers.

  • Follow up on overdue payments.

 

Job Requirements

  • Proficiency in Microsoft Office, Microsoft Teams, and Google Workspace.

  • ITE qualification or Diploma in Mechanical, Mechatronic Engineering, or a related field.

  • 2–3 years of relevant work experience.

  • Strong written English and conversational Mandarin skills to communicate effectively with customers and office staff in Singapore.

  • Strong troubleshooting skills with knowledge of mechanical and electromechanical systems.

  • Proficient in interpreting technical manuals, equipment schematics, and service documentation.

  • Ability to work independently with minimal supervision and manage multiple tasks efficiently.

  • Pleasant personality with strong work ethics and a positive, self-motivated attitude.

  • Capable of resolving challenges while maintaining professionalism in customer and team interactions.
