Responsibilities and Duties:
The incumbent is part of the medical administrative team in the Medical Services Department who will provide strong support to ensure smooth operation on the ground. He/She will work closely with internal and external stakeholders to achieve the outcomes accordingly. The job scope includes but not limited to:
· Manage manpower planning which comprises monthly and weekly roster for inpatient and outpatient doctors, daily coverage, and manage leave and training-related matters.
· Approve leave and claims via MOHH SuccessFactors and Prosoft.
· Coordinate postgraduate posting-related matters and work closely with internal and external stakeholders on posting, evaluation and supervisory matters.
· Perform secretariat duties for Institutional Review Board (IRB) meetings.
· Plan departmental meetings which includes weekly Senior Doctors meeting, Med Admin meeting, monthly manpower meeting and MO feedback sessions.
· Ensure timely collation of KPIs from stakeholders and submission of PMF.
· Manage Visiting Consultants-related matters.
· Provide administrative support for department and hospital audit and participate in hospital committee.
· Assist in events and activities, and other duties as assigned.
Job Requirements:
· Diploma in Business Administration or related fields
· Preferably with 2 years of relevant experience
· Proficient in Microsoft Office applications, especially Excel spreadsheet functions
· Excellent communication, organisation, coordination and interpersonal skills
· Excellent command of English in writing minutes and reports
· Ability to multi-task, work under tight timelines, meticulous, work independently and as an effective team member
