KEY RESPONSIBILITIES:
1. Front Desk & Guest Management
Greet and assist visitors in a professional and courteous manner, maintaining a positive company image.
Handle incoming phone calls, emails, and general inquiries; direct them to the appropriate departments.
Serve tea, coffee, or refreshments to guests, clients, and visitors during meetings or upon arrival.
2. Administrative & General Support
Maintain organized filing systems, perform data entry, and prepare documents as needed.
Provide ad-hoc administrative support to various departments as required.
Record and arrange the sending of incoming and outgoing mail.
Assist in scheduling meetings, managing calendars, and making travel arrangements.
Arrange and prepare necessary items for new employees such as computer, stationery, lift & door access cards.
Conduct periodic checks on office PCs to ensure antivirus software is up to date and assist with updates when necessary.
3. Meeting & Event Coordination
Manage the booking of meeting and conference rooms, ensuring they are tidy and ready for use.
Assist in planning and organizing internal company events, staff gatherings, and meetings.
4. Office & Pantry Operations
Monitor and manage office supplies, pantry items, and stationery inventory; ensure timely restocking.
Ensure the general cleanliness and orderliness of the office and pantry areas at all times.
Care for office plants, ensuring they are watered and well-maintained.
Refill the coffee machine and ensure all pantry supplies are stocked and in working order.
Coordinate servicing of office equipment such as photocopier machines, water dispensers and coffee machines.
