Job description

Job Summary:

  • Director Personal Assistance

  • Permanent role

  • Basic up to $ 4,500 + VB

  • Monday to Friday, 8.30am - 6.00pm

  • Location: Woodlands

Responsibilities:

  • 1. Communication & Correspondence

    • Screen and route incoming phone calls and emails to the appropriate parties.

    • Review and respond to emails, letters, and messages on behalf of senior management, as directed.

    • Maintain and update contact databases and email records regularly.

    • Act as a liaison between senior management, internal teams, and external stakeholders (e.g., clients, vendors, business partners).

    2. Calendar & Meeting Management

    • Plan and coordinate the calendar for senior management, scheduling internal and external meetings based on priorities and historical patterns.

    • Attend management meetings to take accurate minutes and provide follow-up administrative support.

    • Ensure all meeting materials are prepared and aligned with requirements by coordinating with relevant parties.

    3. Travel & Logistics

    • Organize and manage travel arrangements, including flights, accommodations, ground transport, and entertainment.

    • Ensure all travel plans comply with company policies.

    • Oversee the schedule and leave planning of the designated driver for senior management.

    4. Administration & Confidential Support

    • Handle confidential and sensitive information with a high degree of discretion and professionalism.

    • Develop and maintain effective filing systems and data management practices.

    • Manage selected budgets and accounts as assigned.

    5. Project Support

    • Execute ad-hoc projects and administrative tasks as assigned by senior management

Additional Information:

  • Minimum Diploma/Degree in Business Administration or equivalent work experience

  • Proven work experience as a Personal Assistant with a minimum of 3 years’ experience in providing secretarial and administrative support to the C-suite level

  • Excellent verbal and written communications skills

  • PC literate with knowledge of MS Office proficiency

  • Outstanding organizational and time management skills

  • Decisive and committed, able to work under pressure

  • Ability to multitask and prioritize daily workload

  • Discretion and confidentiality

  • Meticulous and has problem-solving skills to deliver results and meet KPIs

  • Working experience in Food & Beverage sector will be advantage
