Team Executive Assistant - Single Family Office - #1093106

Job Summary:

As a Team Assistant, you will play a crucial role in supporting multiple executives with a wide range of administrative and support tasks. This role is highly front facing and will involve hosting VIP guests and covering receptionist duties - the candidate we are looking for is one who conducts herself thoughtfully and professionally, and has a positive and accommodating character to do whatever it takes to provide the best quality of support possible.

Key Responsibilities:

• Provide calendaring support to 3-4 executives, including scheduling meetings and executing logistics
• Handle end-to-end travel coordination and expense reimbursements for the team
• Prepare confidential and sensitive documents with discretion and accuracy
• Support office administration and facilities management including maintenance of facilities and amenities, pantry, managing courier services, procurement of supplies
• Adhoc HR coordination and event support where required

Requirements:

• Minimum 3-6 years of relevant experience in an Executive Assistant or Personal Assistant role, ideally in investment/ family offices
• Demonstrated integrity and discretion with high attention to detail and resourcefulness in a fast-paced environment
• An understanding of luxury service standards and etiquette, or a strong background in high-touch service industries (eg luxury hospitality or aviation) is highly valued
• Strong organisational and time-management skills
• Excellent communication and interpersonal skills, and the polish and presentation to do well in client-facing settings
• Positive and hands-on attitude to go the extra mile to provide the best service possible
